Terms for PASS Free and PASS Plus, including live PASS Plus purchasing through Paddle.

When live PASS Plus purchasing opens, Paddle will act as the Merchant of Record for the transaction while PASS is supplied by DOT Sport under these Terms. Live checkout is currently disabled while launch checks are completed.

1. Who we are

PASS is provided by Shammy Shack Limited, trading as DOT Sport. Shammy Shack Limited is registered in England and Wales under company number 08155132. Its registered office is 32 Roberts Road, Lancing, BN15 8AR.

2. About PASS

PASS is a team-based reflection tool that lets players submit short post-session reflections through a secure team link and lets authorised team staff review those reflections.

PASS Plus adds optional staff-facing coaching insight tools, including PASS Coach AI for an individual reflection and Team Pulse for team-level pattern analysis.

3. Staff accounts, teams and authority

  • Staff accounts are intended for authorised adult coaches, managers or other team staff.
  • A person creating or managing a team confirms that they are authorised to do so.
  • Staff must keep sign-in details and team invitation links secure.
  • A team manager may create or revoke staff invitation links and secure player submission links.
  • Do not use PASS as a safeguarding, medical or emergency-reporting system.

4. Player submission links

Players do not need a PASS account to submit a reflection. A valid secure team submission link identifies the team for the submission. Anyone who receives a valid link may be able to submit to that team until the link is replaced, revoked or expires, so staff should share links only with the intended player group.

The team is derived from the secure link. Players cannot choose another team during submission.

5. Reflection records

Players and staff remain responsible for the accuracy and appropriateness of information entered into PASS. Reflections may include a player name, session date/type, optional mood, PASS responses and a commitment for the next session.

Avoid entering unnecessary medical, safeguarding, home-address, contact or other highly sensitive/private information in ordinary PASS reflection fields or staff notes.

6. PASS Coach AI and Team Pulse

PASS Coach AI and Team Pulse are optional staff-facing assistance tools. They are intended to help authorised staff summarise, identify themes and prepare possible follow-up questions or coaching responses. They do not replace professional safeguarding, medical, mental-health or welfare judgement.

PASS minimises the identifiers sent to these AI tools where they are not required. Direct player/team labels are removed from AI prompts and private staff follow-up notes are not sent where they are not needed for the requested analysis.

Staff remain responsible for reviewing AI output before acting on it and for escalating genuine welfare or safeguarding concerns through their organisation's approved process.

7. PASS Free and PASS Plus

The core player reflection workflow remains available on PASS Free. Ending PASS Plus does not remove the team's underlying reflection records merely because the commercial entitlement has ended.

PASS Plus is priced at £2.99 per team per month or £29.99 per team per year. Only an authorised team manager may start a team purchase through PASS checkout.

PASS Plus purchasing is available through the approved live Paddle checkout. The selected plan, price and billing interval are shown before payment.

8. Acceptable use

  • Do not access another team's records without authority.
  • Do not attempt to bypass access controls, probe the service, introduce malicious code or disrupt other users.
  • Do not submit unlawful, abusive, discriminatory, misleading or infringing content.
  • Do not use PASS to make automated medical, safeguarding or disciplinary decisions about a player.

9. Availability and service changes

We aim to provide a reliable service, but uninterrupted availability is not guaranteed. We may maintain, secure or improve the service and may temporarily restrict access where reasonably necessary to protect users, data or the platform.

10. Intellectual property

We or our licensors own the PASS software, branding, interface and documentation. These terms give authorised users a limited right to use PASS for its intended purpose while their access remains active.

11. Liability and professional advice

PASS supports sporting reflection and coaching operations. It does not replace professional medical, safeguarding, mental-health, legal or emergency advice.

Nothing in these terms excludes or limits liability where it would be unlawful to do so or removes mandatory consumer rights that apply.

12. Governing law

These terms are governed by the law of England and Wales. Mandatory consumer rights and forum rights continue to apply where relevant.
