PASS Guide

Eight short guides that follow the real PASS workflow from staff setup to player reflection, follow-up and team access.

1Create your PASS staff account

Open Staff sign in and choose Create account. Confirm your email if your authentication settings require it, then sign in.

A new customer with no team is taken to first-team setup. Creating that team gives the creator an active manager membership for the team.

2Create and share the player reflection link

From the staff dashboard, create the secure player submission link for the team. The link is team-bound, so players do not choose or type the team themselves.

Share that link through the communication channel your team already uses. Creating a replacement link invalidates the previous active link for that team.

3Complete a player reflection

Players open the secure team link without creating an account. They enter the reflection details shown on the form, including mood, the PASS prompts and their next-focus commitment.

Submitting the form stores the reflection against the team identified by the secure link and takes the player to the thank-you screen.

4Review submitted reflections

Authorised staff sign in to the team dashboard to review the reflections available to their team membership.

Use the existing search and filters to find relevant entries rather than relying on messages, paper notes or memory.

5Notes and follow-up

Staff can add private staff notes and use the follow-up workflow to keep track of reflections that need a later conversation or action.

These staff notes are not sent to PASS Coach AI when an AI tool is used.

6Use PASS Coach AI on Plus

PASS Plus can assist with an individual reflection by producing a concise summary, reflection-specific follow-up questions, a draft reply, a proportionate concern review and contextual coach chat.

The output is coaching assistance for an authorised adult. It does not diagnose a player or make automatic coaching, safeguarding, wellbeing or selection decisions.

7Use Team Pulse on Plus

Team Pulse analyses a set of recent team reflections to help authorised staff identify themes and patterns across the group.

Explicit player and team labels are removed from the AI request. The words written in reflections may still be analysed when staff choose to use the tool.

8Invite another team member

An active team manager can create a secure staff invitation link. The invited person signs in or creates a staff account, previews the team and accepts the invitation.

Invitation links expire and are single-use. Team membership, rather than a public team search, controls access to the team dashboard.
